Office Manager and Executive Assistant

Role: We are looking for a candidate with at least five years’ experience to support the effective and successful running of our growing charity. The successful candidate will ideally have strong project management, administration, and finance skills. As we are a small charity this role will combine senior responsibility for our operations with day-to-day office management and event administration.

Job Type: 4 days a week, with some flexibility

Timeframe: Fixed term, 12-month contract maternity cover. We would like this role to start by Monday 4th September, with some paid handover days beforehand.

Salary: £35,000 – £40,000 pro rata, commensurate with experience

Reporting To: CEO

Managing: Line managing the Fundraising and Grants Coordinator

Location: Hybrid model. Working from NIF Offices in Kentish Town & Remote working

Job Description

Main areas of responsibility

1) Office Management:
• Ensure smooth running of the office
• Manage suppliers and handling general enquiries
• Lead on operational efficiency
• Coordinate event logistics
• Data entry and database support (inc. processing donations and assisting the programming team with updating event registrations on our CRM system)

2) Executive Assistance:
• Coordinating and minuting Board and committee meetings
• Providing administrative support to the Chief Executive and senior management
• Project management of one-off and special projects, including coordinating logistics for our annual fundraising dinner and awards ceremony (Sunday 5th November).
• Support the CEO and Board with governance and regulation requirements
• Organisational lead for GDPR and responsible for ensuring policies are reviewed regularly and the team are updated on and executing any changes

3) Finance & Grants
• Manage regular payments and bank account processes
• Coordinate and support the Finance Committee (at least three meetings a year)
• Oversee work with our bookkeeper
• Key liaison for the organisation’s audit fieldwork
• Oversee the preparation and execution of monthly transfer of grants
• Quality assurance of grants: keeping grantees due diligence updated
• Main contact for NIF Israel’s Grants and Finance teams

Person Specification

The successful candidate will:

• Be organised and work well under pressure
• Have an excellent eye for detail
• Feel comfortable working in a small, creative, and collaborative team
• Have excellent communication and interpersonal skills
• Have experience working with databases (ideally Raiser’s Edge)
• Have experience with online business banking and handling donations (or similar financial transactions)
• Be highly skilled with Microsoft Excel, and proficient working with Microsoft Word, Outlook, and comfortable adapting to new systems

Desirable Experience:

• Have experience working in a fundraising organisation or team
• It will be advantageous, but is not essential, if the successful candidate can communicate with our colleagues and partners in Israel in Hebrew
